Custom silicone projects often involve several documents at once: buyer drawings, supplier markups, material notes, quotations, sample reports and purchase orders. If those documents do not share a controlled revision, a technically acceptable sample can still be approved against the wrong geometry or an outdated requirement. Silicone drawing revision control gives engineering, procurement, quality and the supplier one traceable basis for each decision.
The objective is not to add paperwork for its own sake. It is to prevent a change in a profile section, gasket hole pattern, molded-part tolerance or tubing note from being lost between RFQ, sampling and production release.
Choose one controlled technical baseline
Start the RFQ with one identified drawing package. Each drawing should show a drawing number, revision, issue date and page count. If a 3D model is supplied, identify its file name and revision as well. State which file governs when the model, PDF and purchase specification differ.
Avoid filenames such as final, latest or new. They do not remain meaningful after another change. A controlled name can combine the part number, revision and issue date. The same identifiers should appear in the RFQ cover note and quotation request.
List related documents separately, including material specifications, color standards, inspection notes, packaging instructions and reference samples. A drawing revision should not silently replace a separate specification unless that relationship is explicitly recorded.
Record supplier questions and assumptions
Before quotation, the supplier may identify missing tolerances, unclear datum references, difficult corner geometry or a conflict between notes. Keep these questions in a numbered clarification log linked to the drawing revision. Record the buyer response and the date it became part of the RFQ basis.
Commercial quotations should repeat the exact revision and important assumptions. If the supplier quotes an alternative tolerance, tooling route, splice location or inspection method, that difference should be visible rather than buried in an email chain. Procurement can then compare offers against the same technical scope.
For custom silicone sections and seals, useful clarification subjects include:
- governing dimensions, datums and general tolerances;
- material family, hardness target and color reference;
- critical surfaces, flash limits and cosmetic zones;
- corner, joint, gate or parting-line location;
- measurement condition and inspection equipment;
- quantity stage, sample quantity and packaging needs.
Freeze the sample-build revision
When a sample order is released, freeze the technical baseline for that build. The sample request should identify the drawing revision, agreed clarifications, material reference, process route and requested checks. If tooling or a temporary production method is used, identify that status without implying that sample capability automatically represents every future production condition.
Assign a sample or lot identifier and keep it with inspection records and shipped pieces. Photos can support traceability, but they do not replace dimensions, material identity or controlled sample labels. The receiving team should be able to match every sample to the build revision without relying on memory.
If the drawing changes while samples are in progress, do not overwrite the original build record. Issue a new revision and decide whether the current samples remain useful for a limited question, require rework or must be replaced. Record that decision before approval.
Define what sample approval means
Sample approval should state the checks completed and the limits of the decision. Dimensional approval, appearance approval, assembly fit and material-document review are related but distinct. A part may fit an assembly while one inspection point remains open, or its dimensions may pass while service validation is still pending.
Use an approval record that names the part number, drawing revision, sample identifier, reviewed evidence, deviations and decision owner. Possible outcomes can include approved, approved with documented deviation, re-sample required or rejected. Open items need an owner and closure condition.
The buyer remains responsible for validation in the intended assembly and operating environment. Supplier sample approval should not be treated as a general service-life, certification or end-use guarantee.
Connect approval to production release
Before the first production purchase order, compare the approved sample record with the current drawing and quotation. Confirm that no later revision changed a critical dimension, material note, inspection method or packaging requirement. The purchase order should reference the released drawing revision rather than only a part description.
Where appropriate, establish a first-batch check for dimensions, appearance, material or packaging features that mattered during sampling. The scope and sampling plan should be agreed for the project. Production changes should use the same controlled path. A supplier-requested process adjustment, buyer drawing update or approved deviation needs a new record, impact review and effective date. Stock and work in progress should be identified so old and new revisions are not mixed unintentionally.
Handle deviations without losing traceability
A deviation is not the same as a drawing revision. A deviation normally permits a defined difference for a particular sample, batch or time period while the drawing remains unchanged. Record the affected quantity, characteristic, acceptance basis and expiration or closure condition.
If the difference becomes the permanent requirement, update the drawing or specification through the buyer’s change process. Repeatedly approving the same temporary deviation can create an undocumented second standard and make later supplier comparisons unreliable.
Keep superseded files available for history, but clearly mark them as obsolete for new purchasing. Access control should prevent accidental issue while preserving the evidence needed to explain earlier quotations and approvals.
Prepare a revision-controlled RFQ package
A practical package includes a cover index, controlled drawing, related specifications, clarification log, quantity stage, requested sample checks and approval route. Name the buyer contact who can authorize technical changes and the contact who can issue commercial revisions.
Before sending an update, summarize what changed and which previous files it replaces. Ask the supplier to acknowledge the new revision and identify any impact on quotation, tooling, samples or timing. These effects require project review; they should not be assumed in advance.
